Manage the Undergraduate Application Process
On-Campus Deadline
Your on-campus deadline for receipt of undergraduate applications should be set far enough in advance for you and/or your committee to interview applicants and complete the rating process before the Boren Scholarship national deadline of February 10, 2011. We understand there will always be students who express an interest in applying for a Boren award after the on-campus deadline has passed. While we do not encourage students who have missed their on-campus deadline to submit an application individually, we will process all applications submitted by the deadline. If a student misses the on-campus deadline, you may use the online form to provide a zero rating and note that the applicant missed the campus deadline, if you desire.
Note: Neither the campus review committee/faculty reviewers nor the Boren campus representative will be responsible for eliminating any candidate. All completed applications submitted by eligible students on your campus should be submitted to IIE for evaluation by regional review panels.
Online Application Process
All applications must be submitted online. Students should thoroughly read and understand the instructions before proceeding with any part of the Boren application.
- As campus representative, you may monitor the online applications from your university. After you log in to the Boren Scholarship application website, you will see a list of all current applicants from your school, including the status of the applications and students’ email addresses.
Note: All campus representatives are emailed their usernames and passwords. Please contact 1-800-618-NSEP or boren@iie.org, if you need your login information or if you have problems logging into the online system. - Boren will notify you via email when an application is started and when it is submitted by the student. The email contains all the necessary information to access the student’s file for campus review. Make sure your email server recognizes boren@iie.org as a trusted sender. - As the deadline approaches, log in periodically to see the status of the applications. You may review pending applications at any time. However, you will not be able to complete an evaluation form unless the application has been submitted by the student.
- When a student has submitted their application and you are ready to evaluate it, click on a student’s name to retrieve the application. This will bring up the rating form for that student. You will need to use the navigation bar on the right-hand side to move between the student rating form and application. Click on “Review Application” to view the student’s application; click on “Campus Rep Evaluation” to enter the rating on the online student rating form.
- Review the application (with student present, if possible) to ensure completeness. If the student needs to edit the application, you may use the “Change Status to Pending” button. The student must then make any changes and re-submit the application. You will not have access to the online student rating form for that applicant until the student re-submits the application.
Campus Review Process for Boren Scholarships
An important element in the campus-based Boren Scholarship application process is the review and rating of student applications. There are two options for on-campus review:
- Formation of a campus committee
If you form a committee, it is recommended that you include two to five individuals from your campus who represent a cross-section of departments and academic fields in the review of applications. Consider inviting faculty members with experience abroad as well as those from Boren-preferred fields of study (visit www.borenawards.org/boren_scholarship/field_of_study.html for a list). Campus representatives may also serve as on-campus reviewers. While it is preferred that the reviewers meet as a committee to discuss applicants, it is possible for reviewers to review and to rate applications individually. Also, separate committees may be formed for individuals or smaller groups of applicants, should that be necessary. - Individual review
An individual review can replace the campus committee at the discretion of the campus representative. IIE recommends an individual review if the institution only has a few applicants or if there is limited time until the national application deadline. The individual review can be completed by the campus representative or by an academic advisor.
Campus reviewers (committee members or individuals) have a threefold task:
- Read and Review Each Application
Each application should be forwarded to the committee members with a 2010-11 student rating form (see pages 10-11 or download it from the campus representative webpage). You may print the application for distribution to campus committee members. Click on “Review Application” on the navigation to the right. This will bring up a printable version of the application. Right click and select print or hit control and “P” to print the entire application. - Interview Applicants
Please remember that on-campus interviews are the only time in the application process that a student has an opportunity to present him or herself personally. Regional review panelists look to the student rating forms for on-campus reviewers’ thoughts on particular applicants. At a minimum, each applicant should be interviewed by at least one person (campus representative, committee member, or academic advisor). This step is particularly relevant for evaluating issues of maturity, adaptability, and motivation. - Rate Applicants
Reviewers are asked to rate each applicant using the student rating form (5 = Exceptional, 4 = Very Good, 3 = Average, 2 = Fair, 1 = Not Recommended). This process requires rating, not ranking, of each student according to the criteria presented. After each committee member has rated a student on the student rating form, you should average all scores for that student. This composite rating should then be submitted online. Log back on to the online system and select the applicant you wish to evaluate. This will bring up the online student rating form. Enter the composite Boren campus review rating and any comments about the student’s application. Since the same selection panel will not review all the applications from your institution, small increments in ratings or a ranking of your candidates are not meaningful. IIE highly encourages you to compile or summarize reviewers’ comments on the online composite student rating form in order to support and/or explain the applicant’s score.
Submit Application for IIE Review
In order for an application to be considered complete and ready for review by IIE, you must submit the online portion and send in the additional materials by mail.
Online
As described in the section above, after the campus review is complete, you should enter the composite rating and comments into the online student rating form. Again, please keep in mind that numbered scores without any comments are of little value to the review committees. Once this is complete, submit the online application to IIE by clicking on “Submit Evaluation” at the bottom of the screen. After it has been submitted, it cannot be further modified. However, you can click on the student’s name to view the evaluation and print it for your records.
By Mail
All related materials should be in one package and must arrive at IIE by February 10, 2010. As a safeguard against lost or untraceable parcels, you should use an overnight delivery service. This will allow for a speedy delivery of the packet and for you to confirm that the packet has been delivered. IIE does not acknowledge receipt of completed applications. However, applicants and/or campus representatives will be notified of missing portions of applications.
Packages should include:
- Faculty/Staff Reviewer List – Using the Campus Reviewers form, please provide a list of all on-campus reviewers. The list should include each reviewer's name, title, and academic department.
- Supplementary Materials for each student’s application:
- References (2, no more than 3)
- Official transcripts from all universities or colleges attended. Freshmen must also include high school transcripts
- One page study abroad program description for each program (preferred and alternate) or two letters of support for direct enrollment or individually arranged programs
- Language self-assessment form
- Language proficiency form (optional)
Boren Scholarships application packets must be arrive at IIE by February 10, 2011.
